Acceptable Use Terms

1. What this document is for

Kygra Care's AI-assisted features (voice dictation and text parsing of shifts) call paid outside services — Anthropic's Claude API and Deepgram's transcription API — every time you use them. Those calls cost real money, and a small number of accounts using them in a way no genuine support worker would (a script, a leaked account, a deliberate flood) could disrupt the service for everyone else or run up a bill that has nothing to do with real invoicing work. This document explains the limits that exist to prevent that, in plain terms: what they are, why they're there, what happens if you reach one, and what counts as actual misuse rather than just heavy use.

This document sits alongside the Terms & Conditions and the Privacy Policy, not instead of them. Where anything here conflicts with those, they govern — this document only adds detail to Terms section 6.

2. What's never limited

Manual shift entry, invoice generation, sending, and payment tracking are free and unmetered on every tier, with no exceptions. These features never call a paid outside service, so there's nothing to meter. If you reach any limit described below, everything in this paragraph keeps working exactly as normal — nothing already saved, invoiced, or sent is ever affected by a limit.

3. What is limited, and by how much

Only two kinds of use are metered: AI-assisted entry (voice transcription and text parsing of shifts) and, after your first month, how many shifts you log in total regardless of how you enter them.

These figures can change — if we do, we'll update this document and the "Your plan" card in Settings together, so what you're told in the app never disagrees with what's written here.

4. Why these limits exist

They are a cost and abuse safeguard, not a way of making the free tier deliberately unpleasant or nudging you to pay before you need to. The trial month's numbers are sized to be generous enough that an ordinary worker doing real day-to-day entry is very unlikely to ever see them. The Kygra Care Plus ceiling is sized the same way: it is a genuine, enforced number, not a decorative "unlimited" — but it is set well above what real use looks like, specifically so it only ever catches an extreme or automated pattern, not a busy week.

Underneath these per-account numbers, Kygra Care also runs safeguards that apply platform-wide rather than to any one account — a limit on how large a single request can be, and a limit on how many AI calls can happen across every worker in a short window. Those exist for the same reason: to stop one costly event, whoever causes it, from affecting the service for everyone else. They're not something you can see or hit individually, so they're not covered as a per-account limit here.

5. What happens when you reach a limit

Reaching a limit pauses one thing — it does not lock your account, delete anything, or notify anyone about you. Specifically:

  • The one AI-assisted action you were trying to do (voice entry or text parsing) is paused until the limit resets or you upgrade.
  • Manual entry for that same shift keeps working immediately — you can always type it into the form instead.
  • Nothing already saved, invoiced, or sent is touched.
  • You're told plainly, in the app, which limit you've reached and when it resets — never as a "upgrade now!" style prompt, since it exists to protect the service, not to sell you something.
  • If your genuine work needs more than a limit allows, email help@kygracare.com.au and say so — a real, unusual need is a conversation, not something the app is designed to force you around by making you buy more than you need.

6. What counts as misuse

The limits above cover heavy but genuine use. Separately, and regardless of which tier you're on, you agree not to:

  • Attempt to access, view, or infer another worker's account, data, or client records — Kygra Care isolates every worker's data from every other worker's by design, and trying to get around that isolation is a breach of these terms, not a bug report (report a suspected isolation bug to help@kygracare.com.au instead).
  • Enter deliberately malicious content into any field — for example, text crafted to exploit the AI parser, the database, or any other part of the app, rather than to describe a real shift.
  • Use scripts, bots, or automated tools to call Kygra Care's AI-assisted features, or to work around the limits in section 3, rather than using the app as a person entering their own shifts.
  • Share or lend your account to someone else, or use Kygra Care to store or process data for anyone who isn't a genuine NDIS participant you provide supports to (this restates Terms section 6, which this document expands on rather than replaces).
  • Attempt to reverse-engineer, scrape, or extract the pricing engine, the AI prompts, or any other part of the underlying system.

An honest mistake — a typo, an unusual but real shift, hitting a limit during a genuinely heavy week — is never misuse. The line is intent: using the service to do the job it's for, versus deliberately trying to break it, get around its limits, or reach data that isn't yours.

7. Consequences

Reaching a fair-use limit (section 3) is never a consequence of misuse — it is an ordinary pause, described in section 5, and never affects your account standing on its own.

Actual misuse (section 6) is handled under Terms & Conditions section 9 (Termination): for most breaches, we'll give you notice and a reasonable chance to stop before suspending or closing your account. For something we reasonably believe is fraud, an attempt to access another worker's data, or another unlawful use, we can suspend or close the account immediately and without prior notice, as that section already states. This document does not create any stricter or additional consequence than the Terms already set out — it exists to make clear what these terms mean in practice, not to expand what can happen to your account.

8. Changes to this document

We'll notify you of material changes before they take effect, the same way the Terms & Conditions commit to (section 10) — for example if a limit changes meaningfully or a new category of misuse is added.
